The inspection and PDPA burden on Thai care centers

Whenever a สบส. (Health-Establishment) inspection approaches, many centers stop normal work and spend a week scrambling to gather past records. The common problem is not “it was not done” but “it was done and we cannot find the paperwork” — records scattered across paper, Excel and LINE chats, handwriting no one can read, missing days, or files sitting on different machines.

The other side is PDPA. A center holds a person's most sensitive information — conditions, medications, daily symptoms, ID-card numbers — and the law requires especially strict access control. PDPA by design — and the center remains responsible

Caleo builds PDPA principles into the system from the start — capturing consent, limiting access by role so people see only what they need, and keeping an audit log of who viewed or edited whose data and when. When a data subject asks to view, correct, or delete their information, having everything in one place makes it fast to find and respond. Data is encrypted and stored in-region.

The honest point to state plainly: the tool helps you be more prepared and organized, but it does not guarantee passing an inspection. The pass/fail decision rests with the inspector and the center's actual practice, and the center, as data controller, remains legally responsible at all times. Does this guarantee passing a สบส. inspection?

No. Caleo makes it much easier to prepare and assemble evidence in an organized way, but it does not guarantee the inspection result. The pass/fail decision rests with the inspector and the center's actual practice. The tool reduces paperwork and keeps evidence ready; responsibility for meeting the standards stays with the center.

When will this feature be available?

Where is the data stored?

Data is encrypted and stored in-region, with role-based access so staff see only the information their job requires rather than the whole center. Every access and edit is recorded in an audit log, so it can be reviewed later and used to answer PDPA requests.

How are PDPA data-subject rights handled?

PDPA gives data subjects the right to access, correct, or delete their information. With everything in one place, the center can quickly find and pull consent evidence and access logs to respond within a reasonable time. The center, as data controller, remains responsible for responding in line with the law.

Do we have to change how we work to be inspection-ready?

No. Inspection-readiness builds on what the team already logs — resident records, rotas, and medication. The system is designed to map those records to the standard criteria for you, so the team works as usual and evidence builds up day by day, with no last-minute document scramble before an inspection.
